Abstract:
This session will present a chapter from the ICA manual on appraisal and selection of contemporary archives.
Target audience:
Archivists and records managers charged with processing contemporary documents and interested in the appraisal and selection processes
Overall purpose and significance of session:
Discuss the results of the work of the Appraisal Committee of the ICA (working group CPBS) as well as work conducted in Latin America.
Content description:

The following processes were identified by the ICA Appraisal Committee:

  • Define a strategy;
  • Collect information on activities and examine the documents generated by them;
  • Make appraisal decisions based on an understanding of the context and an identification of documents to be preserved indefinitely;
  • Document decisions made, ensure their communication to those concerned, and keep them updated.

The key points identified by Argentinean archivist Manuel VASQUEZ are the following:

  • The document life cycle;
  • Defining and classifying the term "document" as often as necessary;
  • Formulating an objective and the temporary dimension of series to be preserved;
  • Explaining repeated documents and information;
  • Dividing contemporary reality into sectors;
  • Double evaluation;
  • The meaning of the term "importance."
